20.0 - Currency Conversion on Quotes

ResBook's newest functionality allows users to obtain real-time currency conversion rate and apply it to Quotes.

This functionality is applied to the following currencies:

  • Australian Dollars (AUD)
  • British Pounds
  • Fijian Dollars (FJD)
  • Samoan tālā (WST)
  • Tongan paʻanga (TOP)
  • Thai Baht (THB)
  • United States Dollars (USD)

This applies when ResBook is set to display Quotes in a different currency aside from their default currency. To set up your quote to display a different currency, here is how:

Step 1

Log into ResBook > Settings > System Settings > Click on [Accounting and Financial]

Step 2

On the Accounting and Financial screen next to 'Currency' (which is your default currency), tick the box 'use additional quote currencies'.

There is no limit to how many currencies you can display on a single quote, therefore you may tick off the ones you wish to use.

The following currencies can be used but does not automatically retrieve the conversion rate:

  • Solomon Islands dollar (SBD)
  • Vanuatu Vatu (VUV)
  • Deutsche Mark (DEM)
  • Chinese Yuan Renminbi (CNY)

These will need to be manually added to the Quotes conversion field (refer to Step 3).

Click on [SAVE CHANGES] at the bottom of the screen.

Step 3

Generate a new quote.

On the 'Edit Quote' screen, you can convert the currency by selecting the dropdown box as outlined in the screenshot below:

Once the currency is selected, the field will obtain the current conversion rate and display it onscreen:

If the field does not bring up the conversion rate, please refresh your browser once (CTRL + F5), and it will work thereafter.

The above screenshot example shows that it is possible to have separate currencies for Accommodation, and another for your Activity stock unit (if already set up in ResBook).

For currencies that are not automatically retrieved (as stated above), '0' will appear in the field instead and you will need to manually add the conversion rate. To obtain the current currency conversion rate, use a third-party site such as Google or www.xe.com.

Step 4

Click [Update Quote] at the bottom of the screen to apply the conversion rate to all pricing values in the quote.

The left-hand side menu bar will reveal the new currency conversion:

The main edit screen will show the currency conversion rate under the original quoted rate.

All totals will be tallied at the end of the quote and the original quoted amount will be available for viewing to the ResBook user:

Step 5

Click on Send Quote to get to the e-mail screen:

All rates will be in the currency as converted beforehand, and displayed in the e-mail ready to be sent to the guest:

Important Notes - Please read carefully

  • The Accommodation currency conversion will be updated across all Accommodation options specified in the quote. All services marked under the Accommodation will be updated to the chosen currency.
  • The Activity currency conversion will be updated across all Activity options specified in the quote. All services marked under Activity will be updated to the chosen currency.
  • All quotes confirmed by guests will be processed by the currency set for the payment gateway irrespective of the currency used in the quote.

Disclaimer: Please note that whilst ResBook uses ASB bank's API to obtain real-time currency conversion rate, we strongly recommend that you cross check all rates used with a third party site such as Google or XE. ResBook does not accept any responsibility for error arising due to incorrect exchange rates.
