Basic Set Up Stock Units (Inventory)

A Stock Unit is an Inventory item that can be booked nightly. Stock Units in their basic form can be a physical Room/Property/Tent site/Tour seat...... 

To start with we will look at creating a basic stock unit with the functionality required to receive bookings through your ResBook calendar.

NOTE: If you are setting up a stock unit in the Classification (Room Types), this will be clearly outlined in Blue.

 

Step 1 - New Stock Unit:

To create a new stock unit goto:

ResBook > Settings Capture3.JPG > Stock Configurations > Stock Units >  "New Stock Unit" Button

  • Add the Name
  • Add the Description (only leave this blank if you are creating this stock unit for a classification).
  • Set Instant Confirmation to Yes
  • Set the Status to Active
  • Click Save

You will now come back to the Stock Unit list screen where you can select the newly created Stock Unit.  Once you select the Stock Unit you have access to fully set up the Stock Unit.

 

Step 2 - Name/Description:

The Name/Description Tab includes most of the governing settings for Stock Unit Setup.  At a basic level no more will need to be set up, but if you require greater customisation, you can utilise the other settings available. More details are provided in the article:

Step 3 -  Type:

Select Type only if you need to assign the stock unit to the Classification. Click on the Classification drop down box and assign this stock unit to the Classification.

Virtual Stock units is an advanced feature that allows you to create packages or link multiple stock units together.

Step 4 -  Beds:

Selecting Beds will allow you to set up the rooms and bedding configuration for the Stock Unit. Advanced features allow you to choose the bed type and options per room if you allow for Modified bedding Configurations. (Refer to images 1.2, 1.3, 1.4)

  • Rooms: Add the number of rooms
  • Guests: Add the maximum number of guests that can sleep in beds
  • Roll-aways: Add roll-away beds (these don't count in total bed numbers)
  • Beds: Add the number of beds in Stock Unit
  • Enter the number of beds in Bed Configuration and options per room if required.
  • Bed Description: Descriptive breakdown of beds.

Step 5 -  Bathrooms:

Add in the Number of bathrooms. If more than 1, Bathroom type changes to Bathroom description for you to fill in. Select 'Yes' if you have a Bath/Shower.

Note: Features, Photo and Copy have been deliberately skipped.

 

Step 6 -  Rates:

Allows you to modify Rates to an individual stock unit.  Rates instruction Article:

For Classification stock units, this step can be ignored.

 

Step 7 -  Minimum Stays:

Unless you have a system-wide minimum stay (ie. it applies to all your stock units), then this step can be ignored. Minimum Stays instruction Article:

 

Step 8 -  Copy:

Only for a Classification, once you have created your Stock unit and added the rate, use the 'Copy' button to clone the stock unit. Do this several times until you have reached the number of stock units required.

When making a copy, remember to rename your copied stock unit.

Step 9 -  Final Test:

Now that's completed, you may check your online calendar to see if your Stock unit set up is bookable online: http://www.resbook.net/calendar/?pid=xxxx

The xxxx will need to be replaced with the numbers in brackets next to your property name at the bottom left of the screen:

Check that you are able to select the dates on the calendar, and click on Book Now to take you to the next form. Also, check that the rates/specials you have set up do add up!

If you have not already done so, set up your System settings and ensure that your policies and E-mail Templates details are entered in order to take bookings online.
